Adressupdate helps maintain customer files

Letters denoted “moved, no forwarding address“ are a real cost factor. R + V Versicherung thus sought to reduce the number of undeliverable letters. The company found Deutsche Post to be a competent partner who helped attain this objective with great success.

Initial situation:

Letters returned to the sender are expensive, as the costs for stationery, printing, enveloping and postage are all wasted. Each year, R + V Versicherung sends approximately 20.5 million mail items to its 5.6 million customers. Thousands are returned, including contribution invoices, payment reminders, letters containing insurance policies and endorsements. Important mail in other words. The insurance company for Volksbank and Raiffeisenbank wanted to significantly reduce the number of returned mail items.

Solution:

R + V Versicherung uses the up-to-date POSTADRESS MOVE (relocation database) from Deutsche Post. Each year, some six million private individuals file a redirection order with Deutsche Post. This results in approx. 25,000 sets of data being recorded every day. Added to this are the businesses which relocate. Deutsche Post scans its customers’ redirection orders. The relocation data is then sent to POSTADRESS MOVE, the relocation database, on a daily basis. R + V standardizes its database in keeping with the relocation database and can thus recognize doubled address listings. The insurance company uses the relocation database subscription service, which updates the data at the customer’s place of business. The raw data is transferred directly from the database to the company electronically.

The result:

  • R + V Versicherung was able to reduce the number of returned mail items from 390,000 to some 140,000 per year.
  • Significant savings of time and money.
  • Current addresses are rapidly available.
  • Thanks to the in-house solution, no information leaves the customer’s place of business.
