Infopost-Manager
Questions and answers
FAQs
- Which fonts are machine-readable?
-
Infopost-Manager knows a large number of the machine-readable fonts permitted by Deutsche Post and automatically identifies which of these fonts are installed on your system.
In mail merge Extras->Machine-readable fonts you get the complete list of fonts classified as machine-readable or you can read them in the following
file. - When printing e.g. packing lists or the list address spread by routing regions all information aren't always printed completely. For instance sometimes the last number is missing. What is the reason for that?
-
Normally, the solution to this problem is to update the printer drivers. In order to do that visit the web pages of your printer manufacturer and download the most current driver version for your printer and your operating system. Prior to installing it onto your system please carefully read the installation instructions of the manufacturer. Note: HP recommends in such cases to downgrade to drivers of an older printer since the current drivers are backward compatible to their predecessors. Additional information can be found
here. - I'm not able to open exported dBase files in the mail merge assistant of MS WinWord. Why?
-
This is a known WinWord bug. The WinWord import procedure for dBase files expects a file name, which doesn't contain any spaces or special characters. Otherwise the import will be cancelled with an insignificant error message. Strangely enough, spaces in directory names are accepted.
Do mind this restriction if you like to export data from Infopost-Manager or simply rename the file accordingly prior to import it to WinWord. With it, the import of dBase files should be possible without any problems.
Unfortunately it's unknown whether respectively when this bug is fixed by Microsoft.
- What do I do if the printer ignores the additional character distance of the font in Mailmerge?
-
This problem might occur with Win2K or Win NT4.0 if the print job is processed as an EMF - (enhanced metafile) data type. This can be remedied by changing the data type to RAW.
If you have sufficient rights, you can set the data type in the Print Processor dialog box of the printer's Properties dialog box. With Win2K you may have to deselect the Enable Advanced Printing Features check box.

Q262614 of the Microsoft Knowledge Base. - What might be the cause of problems when importing Access files?
-
When importing Access spreadsheets, there may be error messages if ADO drivers or the Jet Engine are not installed or are obsolete, e.g.:
Errors when creating objects. Make sure that the Microsoft Data Access Components 2.1 (or higher) are correctly installed.
This may be the case with older operating systems on which Microsoft Access is not installed.
Note:
To run Infopost-Manager, in particular to import Access spreadsheets, Microsoft Access does not have to be installed; only the drivers described above are needed. It is easy to subsequently install these drivers. You will find the latest version of the ADO driver at
http://www.microsoft.com/data/download_260rtm.htm,
and of the Jet Engine at
http://www.microsoft.com/data/download_Jet4SP3.htm.To remedy the error described above:
First you install the current ADO driver. If this by itself does not solve the problem, please also install the latest Jet Engine. - How can I set another person posting if I am working in lettershop mode?
-
You can right-click on any customer in customer management to set them as the person posting.
- What data volume capacity does Infopost-Manager have?
-
There are no restrictions in optimisation. With the address check and search for duplicate entries, the process becomes increasingly slow from 50,000 addresses. However, there is also no restriction here.
- When posting machine-franked items, the entry of the number of the sender franking machine is requested. I can also enter this at Extras->Options. But it is not printed out. Why?
-
You can enter various numbers at Tools->Options, but you cannot activate them for the project at hand. You can select the number of the sender franking machine that is right for the project you at Project->Properties->Details. The number selected here is printed out.
- When posting Infopost to routing regions, a posting list is required for each routing region. But Infopost-Manager only prints one list for all routing regions. What do I do?
-
Generally a posting list is required for each routing region. If you prepare the posting with the Infopost-Manager then a posting list, along with the compilation of routing regions that the Infopost-Manager automatically creates, will suffice.
- What is a negative replication and how can Infopost-Manager support me?
-
A negative comparison is needed, for example, if members of the Robinson list or any group you define are definitely not to be contacted. All records that are both in the Robinson list and in your target file are to be deleted.
In order to locate these records, the Professional version of the Infopost-Manager offers two specific functions.
1. Robinson comparison
The Robinson comparison allows you to perform a negative comparison (duplicate match) with the DDV Robinson list. This requires acquiring the Robinson file from DDV and installing it.2. Nixie comparison
The Nixie comparison allows you to perform a direct negative comparison against any of your files. In this case the structure and format of the negative file is irrelevant. Both processes are able to locate slight typing errors and discrepancies in names because they involve "fuzzy matching".
- Why does the Infopost-Manager only start up if you are logged in to Windows as an administrator?
-
The necessary rights are not listed in the registry.
Start up Windows as an administrator and then open the file regedt32.exe (Start - Ausführen/Run - regedt32). Open the HKEY_LOCAL_MACHINE folder, then go into the Deutsche Post AG directory and change the Infopost-Manager
- for Windows 2000, choose the menu item Sicherheit-Berechtigungen/Security-Permissions
- for Windows XP, right-click on the Infopost-Manager folder and choose Berechtigungen.../Permissions...
Now you can allow certain users full access to this folder.
- The Infopost-Manager starts up perfectly when I am logged in to Windows as an administrator. But if I am logged in as a user, the following messages appear during the startup: "Zugriffsverletzung bei Lizenzprüfung"/"Error during license check" (Windows 2000) or "Sie besitzen nicht genügend Zugriffsrechte..."/"You do not have sufficient permissions..." (Windows XP)
-
This is not a problem with the Infopost-Manager, but rather is related to the operating system's user restrictions (permission management) in Windows.
Users do not have permissions for the "Infopost-Manager" directory and its subfolders. The administrator has to provide the user(s) with read/write access for these folders.
Procedure: Right-click on the IPM directory in Explorer and choose "Freigabe"/"Enable." Click on "Enable this folder." Give users full access under "Sicherheitseinstellungen"/"Security settings."
- Why do versions 7.1.2 and above of Infopost-Manager have the option of indicating whether senders are entitled to input tax deduction?
-
Version 7.1.2 applies for all postings as of 01/07/2010 because as of that day new posting lists are to be used and Infopost items are liable to value-added tax (VAT). Infobrief items remain exempt from statutory VAT.
To be able to calculate the correct break-even point when comparing Infopost and Infobrief items, as well as the possible extra payments required to reach the various pre-sorting discounts, it must be determined before postage is optimised whether or not senders are entitled to input tax deduction.
We recommend setting this when administering the customer so that it applies to all new projects with this sender.
- How do I create a datamatrix code for Premiumadress outside Infopost-Manager?
-
You can solve this via an address export in conjunction with the font "Deutsche Post Premiumadress". Just install the font via Windows Control Panel --> Fonts.
Then export the field "Premiumadress" and format it with the Font "Deutsche Post Premiumadress". You´ll find some Screenshots in the
attached document.
- How do I get the latest and most up-to-date postal code data for Infopost-Manager?
-
Infopost-Manager uses postal codes in two places to check your address data and correct it if necessary:
- Address check
When you purchase Infopost-Manager, the installation already includes the most up-to-date information on postal codes in the form of DATAFACTORY POSTALCODE so that you can begin checking addresses immediately. In a fast-moving world, however, postal code data is constantly changing. To ensure that your database keeps pace, we recommend you enter into a contract with our subsidiary Post Direkt and sign up to receive regular postal code data updates. The order form for this service can be accessed under "Extras" in Infopost-Manager. Then click on "Update address check"..." You can also download the forms
here.
Another option would be to use the data found in DATAFACTORY STREETCODE for checking addresses. STREETCODE contains a complete list of every postal code, place name and street name in Germany. This feature gives you a more powerful option for checking addresses because all of the streets can be checked. Here too you can choose to receive regular data updates from Post Direkt.
- The Postcode book
The Postcode book has the same data contained in STREETCODE, but it can only be used for individual searches. The postal codes are also used for verifying address data during import. New information on postal codes is provided over the internet, and this update is available free of charge every quarter for downloading. If you have activated the News/Update check (under Extras - Options) in Infopost-Manager, the latest versions will be indicated. You can download the current postal data
here.

- Installing Infopost-Manager on a network
-
Since version 8.0 there has also been a network version of Infopost-Manager. If you want to use Infopost Manager on a network, you can install it onto a group drive or onto a normal computer on your network. The employees concerned must be able to access this installation using their computers. Since Infopost-Manager does not run as a service on a server, it is sufficient, as before, to create a simple link to the Infopost-Manager executable (ipm32.exe) on the computers' desktop.
Under 'networking' version 8.0 implements then following functions:
- User/rights management
- Project directory protection
- Licence change to concurrent user
